Donation Services Administrator

Position Title: Donation Services Administrator
Location: Mason, Ohio (Corporate US Office)
Status: Full-time
Reports to: Accounting Manager
Works closely with: Finance Team, Back2Back Staff, Donors

Position summary: Execute all aspects of the donation process for Back2Back, maintaining positive relationships with donors, advocates, and staff. Provide accurate and timely information to facilitate the funding of the mission and vision of Back2Back.

Primary responsibilities:

  • Provide excellent customer service and support, being willing to go the extra mile and work outside normal routines in order to meet needs internally for Back2Back staff and externally for donors and advocates. This may include:
    • Solving problems via phone or email.
    • Communicating with donors to acknowledge donations, provide updates on organizational activities, and cultivate donor relationships.
    • Providing donation information internally to authorized leaders, departments, and sites across the ministry.
    • Identifying and meeting needs through the use of authorized Back2Back resources, systems, processes, and policies.
  • Understand and fully utilize Blackbaud Raiser’s Edge NXT and Netsuite systems to execute financial processes.
  • Process donations received through various channels including checks, credit cards, and ACH transactions in a consistent, secure, and timely manner.
  • Maintain database information to ensure accurate and up-to-date donor information at all times.
  • Ensure all processes stay in compliance with all relevant internal and external regulations and policies.
  • Provide departmental support through cross training that allows the team to have coverage for critical functions consistently throughout the year.
  • Participate actively in Finance Department and US Corporate team meetings, learning initiatives, personal and professional development plans, and community growth activities.
  • Support the Finance Department through the execution of administrative tasks including but not limited to email and phone correspondence, scheduling and tracking appointments, organizing and maintaining paper and electronic files, updating databases, or providing requested information.
  • Assist with organizational special events and projects as needed.

    Required education and experience:

    • High school diploma or GED required; Associates Degree preferred.
    • Administrative, customer service, or financial work experience strongly preferred.
    • Experience with donor databases, fundraising software, and nonprofit operations is extremely helpful.

      • Operate with basic competency in Gmail, Google Calendar, Google Drive, Google Docs, Google Sheets, Microsoft Word, and Microsoft Excel.
      • Have aptitude to learn additional software, systems, and processes as needed.
      • Have a strong aptitude for mathematics and numbers.
      • Analyze, evaluate, and solve problems creatively with limited resources.
      • Communicate clearly and effectively both verbally and in writing.
      • Work independently and efficiently to coordinate and execute systems and processes.
      • Maintain a high attention to detail and accuracy, double checking your own work
      • Demonstrate high reliability through timeliness and execution of responsibilities.
      • Be proactive and demonstrate resiliency by adapting to a constantly changing environment.
      • Demonstrate characteristics of a team player, being passionate about the work, humble in approach, and strong in interpersonal skills.
      • Demonstrate good judgment and discernment in decision making.
      • Handle conflict in an honorable and truthful manner.
      • Maintain confidentiality.
