Assistant to the Executive Director, US Office

Position: Assistant to the Executive Director

Reports to: Executive Director

Works Closely With: Site Directors, Leadership Team


  • Executive Support
    • Helps with creating and sending out monthly, all staff, Executive Director Update
    • Acts as a “gatekeeper” for the Executive Director to protect time and space
    • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Director. Determines appropriate course of action, referral, or response.
    • Works closely with the Executive Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer” in the office, having a sense of the issue/concerns going on.
    • Handles monthly credit card receipt documentation
  • Annual Directors Meetings
    • Handles preparation for the All-Directors meetings in August
  • Board Liaison
    • Assists the Executive Director with all preparations for board meetings
    • Collects and compiles notes and reports
    • Assists with meeting logistics and room reservations
  • Communication/ Donor Relations
    • Handles confidential information for the ministry
    • Develops and maintains ministry relationships
    • Performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments and travel, organizing and maintain paper and electronic files, updating databases, or providing information to callers
    • Communicates directly, and on behalf of the Executive Director
  • Work with family and friends to create ministry partner team who financially support role
  • Leadership Assistance
    • Assists staff in Home Office as well as Directors at International sites
    • Travels to international sites to assist teams, provides staff support
    • Maintains annual work plan and Strategic Plan
